Exhibitor Terms and Conditions

These Exhibitor Terms and Conditions apply to all exhibitors participating in the Tiny House Expo, operated by Collab Developments Limited trading as Tiny House Expo (“Tiny House Expo”).

By accepting an exhibitor invoice and/or participating in the event, the exhibitor (“You”, “Your”) agrees to these Terms and Conditions.

1. Contract Formation and Payments

This agreement becomes binding upon acceptance of an exhibitor invoice and receipt of payment by Tiny House Expo.

All exhibitor fees, including deposits, are non-refundable and non-transferable, regardless of cancellation, withdrawal, delay, or failure to attend for any reason, except where required by New Zealand law.

Spaces may not be resold, transferred, shared, or assigned. Only the company invoiced by Tiny House Expo may exhibit within the allocated space.

2. Bump-In, Bump-Out, and Venue Access (Critical)

Strict bump-in and bump-out times apply.

  • Exhibitors may only access the venue for delivery, setup, and removal within the official bump-in and bump-out windows communicated by Tiny House Expo.

  • Early delivery or storage of tiny houses, vehicles, trailers, equipment, or materials at the venue is strictly prohibited unless expressly approved in advance in writing by Tiny House Expo via email.

  • Where early delivery or storage is approved, all such items are brought onto the venue entirely at the exhibitor’s risk. Tiny House Expo and the venue accept no responsibility or liability for any loss, theft, damage, vandalism, or interference howsoever caused.

  • Exhibitors are solely responsible for ensuring their tiny houses, vehicles, and materials are appropriately insured while on site, including during any approved early delivery or storage period.

  • Tiny houses, vehicles, and all exhibitor materials must be fully removed from the venue by the official pack-out deadline.

If an exhibitor fails to remove their tiny house, vehicle, or materials by the required time, the exhibitor will be fully liable for any costs incurred, including but not limited to:

  • Venue penalty fees

  • Additional venue hire charges

  • Security costs

  • Storage, towing, or removal costs

  • Cleaning or remediation fees

These costs may be invoiced to the exhibitor and must be paid immediately.

3. No Early Pack-Down

Exhibitors are strictly prohibited from dismantling, packing down, or removing any part of their exhibit before the official event closing time.

This includes partial dismantling, disconnection of services, removal of signage, or preparation for removal during public event hours.

Early pack-down may result in:

  • Disqualification from future Tiny House Expo events

4. Behaviour, Conduct, and Professionalism

Exhibitors, including their staff, contractors, volunteers, and delivery drivers, must behave in a professional, respectful, and non-confrontational manner at all times.

Zero tolerance applies to:

  • Verbal or physical abuse

  • Aggressive or threatening behaviour

  • Public disputes or confrontations with competitors

  • Harassment of other exhibitors, staff, venue personnel, or attendees

  • Any behaviour that damages the reputation or operation of the event

Tiny House Expo reserves the right to immediately remove any exhibitor (and their exhibit) for inappropriate behaviour, with no refund, and to ban them from future events.

5. Alcohol and Substance Use

The Tiny House Expo is a public event operating under strict venue and licensing requirements.

  • Alcohol consumption is strictly prohibited during bump-in, event open hours, and pack-out.

  • Exhibitors may only consume alcohol at pre-approved exhibitor functions organised by Tiny House Expo and approved by the venue.

  • Public or unauthorised alcohol consumption may result in immediate removal from the event, no refund, and exclusion from future expos.

Exhibitors acknowledge that unauthorised alcohol use places Tiny House Expo at legal and licensing risk.

6. One Business Per Site – No Third-Party Promotion

Each exhibitor site is approved for one business only.

Exhibitors may not:

  • Promote, display, or advertise any third-party business

  • Allow third-party signage, branding, or promotional material

  • Use decks, structures, vehicles, trailers, or tiny houses to promote unapproved businesses

  • Display wrapped or sign-written tiny houses or vehicles promoting other companies without prior written approval

Any unauthorised promotion must be removed immediately at the exhibitor’s cost.

7. Responsibility for Personnel and Contractors

Exhibitors are fully responsible for the actions and compliance of:

  • Employees

  • Contractors

  • Delivery drivers

  • Volunteers

  • Any person engaged by or acting on behalf of the exhibitor

Any breach of these Terms by such persons will be treated as a breach by the exhibitor.

8. Damage to Venue or Property

Exhibitors are responsible for preventing damage to the venue and surrounding areas.

This includes, but is not limited to:

  • Fluid leaks (oil, brake fluid, fuel, etc.)

  • Floor, wall, or surface damage

  • Ground or outdoor area damage

  • Inadequate cleanup

If Tiny House Expo is charged for damage, cleaning, or remediation caused by an exhibitor or their representatives, the exhibitor will be fully liable for those costs.

9. Exhibitor Property and Insurance

All exhibits, tiny houses, vehicles, trailers, equipment, materials, and personal property are brought onto the venue entirely at the exhibitor’s own risk, whether during approved early delivery, bump-in, event open hours, or pack-out.

Neither Tiny House Expo nor the venue accepts any responsibility or liability for any loss, theft, damage, vandalism, interference, or deterioration of exhibitor property, howsoever caused, including damage caused by third parties, weather, accidents, or acts beyond reasonable control.

Exhibitors are solely responsible for ensuring they hold appropriate insurance coverage for all property brought onto the venue, including adequate cover for loss, theft, and damage for the full duration of time the property is on site.

10. Insurance Requirements

Exhibitors must hold appropriate insurance coverage, including public liability insurance, sufficient to cover their exhibit, vehicles, tiny houses, and activities.

Tiny House Expo may request proof of insurance at any time.

11. Unauthorised Promotion Outside Exhibitor Space

Without express written approval, exhibitors may not conduct promotions, display materials, or host activities outside their allocated space, including car parks, corridors, lounges, or outdoor areas.

12. Assumption of Risk and Indemnity

Exhibitors participate at their own risk and agree to indemnify and hold harmless Tiny House Expo, its affiliates, and the venue from all claims, losses, damages, costs, or liabilities arising from their participation, conduct, or breach of these Terms.

13. Event Changes

Tiny House Expo reserves the right to change the event format, layout, timing, or location where reasonably necessary. Such changes do not entitle exhibitors to a refund.

14. Final Authority

Tiny House Expo retains final decision-making authority on all matters relating to exhibitor participation, conduct, and compliance. All decisions are final.
